A reusable Claude project that turns messy discovery notes into structured deal summaries

01The Problem

Discovery call notes lived in scattered formats — half-finished bullets, voice-memo dumps, the occasional full paragraph. Turning them into something a manager or AE could actually use took real effort, so it often didn't happen, and deal context got lost between calls.

02The Approach

The real issue wasn't note-taking discipline — it was the translation step from raw notes to shared structure. Rather than enforce a rigid note format, I built a workflow that accepts messy input and does the structuring, so reps could keep capturing notes however they liked.

03The Solution

A Claude project with a saved prompt that takes raw notes and outputs a consistent summary: pain points, stakeholders, next steps, and risks. The output drops into a Notion deal template so every opportunity reads the same way regardless of who ran the call.

04Impact & Learnings

Writeups that used to get skipped now happen in under a minute, and deal context is finally consistent across the team. The real win was adoption — it fit how reps already worked instead of asking them to change.

The lesson: meeting people where their habits already are beats designing the "ideal" process they won't follow.
